Sand Star Services values your privacy. This policy explains how we collect, use, and protect your information when you visit this website, contact us, request an estimate, or opt in to receive communications from us.
When you submit a form or opt in to our SMS service, we collect the contact details you provide — such as your name, mobile number, email, property location, and project details — along with related appointment information. We also automatically collect limited technical and usage information through cookies and analytics tools, as described below.
This website is a static site hosted on Microsoft Azure. The public site does not require cookies to function, and we do not use a Wix or similar site-builder platform. Our customer portal (sign-in required) uses an essential session cookie so you stay signed in; it is set only when you sign in and is not used for tracking.
We use the following analytics and marketing measurement tools to understand how visitors find and use the site. These tools may set cookies or use similar technologies in your browser:

You can opt out at any time with the Google Analytics opt-out browser add-on.If you arrive at the site from one of our campaign links, we also record the campaign parameters from that link (UTM tags) and include them with the estimate or maintenance request form you submit, so we know which of our marketing efforts brought you to us. This does not identify you personally on its own.
These analytics tools load when you visit the site. You can block or delete cookies and tracking scripts at any time in your browser settings or with a content-blocking extension, and the site will continue to work normally. For background on cookies and how to control them, see allaboutcookies.org.
We also verify site ownership with search engines such as Google Search Console. Verification of this kind does not place cookies and does not collect information about your visit.
Your information is used to respond to your inquiry, schedule and perform services, send appointment confirmations, reminders, rescheduling options, and important service updates, and to understand and improve our website and marketing. We do not sell your personal information.
When we visit your property for an assessment, a walkthrough, or a project, we take photographs to document conditions, plan and estimate the work, coordinate our team, and record what was completed. These project photographs are part of your project record and are also used for internal training, quality review, warranty, and insurance purposes. This use is part of how we deliver work accurately and stand behind it, and it applies to every project.
Use beyond that, meaning marketing, this website, social media, or printed materials, is governed by the choice you record on the assessment or project document you sign. That document offers three options: de-identified marketing use, identified use including your project story, or no marketing use at all. De-identified marketing use is selected by default, and you may change it to either of the other options at the time of signing or at any point afterwards. Your choice has no effect on your pricing, your schedule, or the service you receive.
Where de-identified use applies, we do not publish your address, and we do not publish images showing people, vehicles, license plates, house numbers, mail, or personal belongings. Identified use, meaning your name, your likeness, or an exact address, is never applied by default and is confirmed with you in writing for each specific use.
You may change or withdraw your choice at any time by writing to info@SandStarServices.com. We will stop new uses and remove the images from channels we control within thirty (30) days. Materials already printed or already distributed by others may not be recoverable.
Whatever choice applies, we do not publish images showing a security system, an alarm panel, a key or lock detail, a document, or a screen. Location data is removed from photographs before they are shared or published.
Photographs are retained as part of your project record in line with our records-retention practices, and are stored on the same systems and under the same protections as the rest of your project information.
When you submit a form on this site, your submission is sent directly to our Microsoft Power Automate workflow, which delivers it to our team and records it in our Microsoft 365 environment, where our team reviews and follows up. We retain the information you submit as needed to provide services and meet our legal and business obligations.
Customers with an active project may be invited to our secure customer portal at customerportal.sandstarservices.com, where project documents are delivered, reviewed, and signed electronically and invoices are displayed. Signing in uses a one-time code sent to your email; the portal keeps you signed in with an essential session cookie.
When you use the portal, we collect and keep records the portal needs to do its job: your name and email, sign-in activity, and, when you sign a document, the evidence that makes the signature reliable, meaning your typed or drawn signature, the date and time, your IP address and browser details, a digital fingerprint (SHA-256) of the exact file you reviewed, and any selections you recorded on the document. This evidence appears on the certificate of completion for each signed document.
Portal records are stored in our project management system on the Microsoft Power Platform, under the same protections as the rest of your project information. Signed documents and their signature evidence are retained as part of the project record for at least ten (10) years after the project is completed, in line with our records-retention practices and legal obligations. These signing, project, lien, warranty, and tax records are kept for those periods even if you ask us to delete other information we hold about you; the law and our obligations to you require it, and ten years is a minimum, not a limit.
Message frequency varies based on your appointments. Message and data rates may apply. Reply HELP for assistance or STOP to opt out at any time. We rely on the security measures of our hosting and service providers and implement reasonable, industry-standard measures to protect your personal information from unauthorized access, disclosure, or misuse. If a data incident affects your personal information, we will notify you and the appropriate authorities as required by applicable law.
You can opt out of SMS at any time by replying STOP, block or clear analytics cookies in your browser settings at any time, and contact us to ask about the information we hold. For assistance, reply HELP or contact us below.

By accessing or using this website (the “Site”), you agree to be bound by these Terms of Use and all applicable laws and regulations. If you do not agree to these Terms, you must not access or use the Site.
These Terms govern your use of the Site and the customer Portal only. They are separate and distinct from any construction contract, work authorization, or other signed agreement between you and Sand Star Services, LLC. Nothing in these Terms modifies such an agreement, and the dispute resolution provisions of these Terms do not govern disputes arising under it; a signed agreement is governed by its own terms.
You may use the Site solely for lawful purposes and for obtaining information about Sand Star Services, LLC and its services. You agree not to:
Sand Star Services, LLC reserves the right to suspend, restrict, or terminate access to the Site, in whole or in part, at any time and without notice for conduct that it believes violates these Terms or is otherwise harmful to the Site or to Sand Star Services, LLC.
All content, materials, and features available on the Site, including without limitation all text, graphics, logos, icons, photographs, images, videos, downloads, page layouts, designs, service descriptions, and other material (collectively, the “Content”), are owned by or licensed to Sand Star Services, LLC and are protected by applicable copyright, trademark, trade dress, and other intellectual property laws.
No license or right is granted to you by implication, estoppel, or otherwise except for the limited right to view the Site for your personal or internal business use. You may not reproduce, modify, distribute, display, perform, publish, create derivative works from, or exploit any Content without the prior written consent of Sand Star Services, LLC.
Any estimate, budget, pricing range, timeline, schedule, service description, or planning information presented on the Site is provided solely for general informational and preliminary planning purposes. Such information is based on assumptions, incomplete or limited information, current market conditions, and other factors that may change.
Accordingly, all such information is non-binding, subject to revision, and does not constitute a quote, bid, guarantee, offer, or binding commitment by Sand Star Services, LLC. Final pricing, scope, scheduling, deliverables, and commercial terms will be set forth only in a separate written proposal, work order, service agreement, maintenance agreement, or other contract executed by authorized representatives of the applicable parties.
Actual pricing, timelines, and project requirements may differ materially from any estimate or planning range displayed on the Site due to factors including, without limitation:
You acknowledge that any reliance on information presented on the Site is at your own risk unless and until such information is incorporated into a fully executed written agreement.
Condition assessments, walkthrough reports, and similar documents prepared by Sand Star Services, LLC record conditions that were visible and accessible at the time of the visit. They are prepared for the customer's information and planning and are not code-compliance determinations, permit reviews, or engineering, structural, environmental, or pest inspections. Sand Star Services, LLC is not the authority having jurisdiction and does not determine compliance with any code, ordinance, or standard.
Scope described in an assessment report is proposed for estimating purposes only. It is not a bid, a quote, or a commitment to perform work, and no work is authorized by it. Final scope, pricing, schedule, and terms are established only in a separate written agreement executed by authorized representatives of both parties.
Photographs taken by Sand Star Services, LLC during an assessment or project are the property of Sand Star Services, LLC. Their use for project delivery, records, training, quality review, warranty, and insurance purposes is described in the Privacy Policy above. Any use for marketing or promotional purposes is governed solely by the election recorded on the signed assessment or project document. Nothing in these Terms grants Sand Star Services, LLC permission to use photographs of a customer's property for promotional purposes.
Assessment reports, condition reports, scope documents, proposals, and similar deliverables prepared by Sand Star Services, LLC are the proprietary and confidential work product of Sand Star Services, LLC. They are prepared for the named recipient and for use in connection with the property or project identified in them. Except as stated on the document itself, no part of such a deliverable may be reproduced, republished, distributed, or disclosed to any third party without the prior written consent of Sand Star Services, LLC. The observations, condition ratings, scope structures, assessment methods, and document formats used in them remain the property of Sand Star Services, LLC. Nothing in this paragraph restricts a customer from acting on the findings of a report concerning their own property, whether with Sand Star Services, LLC or with another provider.
Sand Star Services, LLC provides an online customer portal (the “Portal”) at customerportal.sandstarservices.com, where customers with an active project can review project documents, sign them electronically, record selections, and view invoices. The Portal is part of the Site and these Terms apply to it, together with this Section.
Portal access is personal. You are responsible for maintaining access to the email address your sign-in codes are sent to and for activity that occurs under your session. Tell us promptly at info@SandStarServices.com if you believe someone else has accessed your Portal account. We may suspend or end Portal access to protect you, other customers, or the Portal itself. You agree that one-time sign-in codes sent to your email address, together with the Portal’s session controls, are the agreed security procedure for attributing Portal activity and signatures to you under Texas Business and Commerce Code section 322.009.
Consent to electronic records and signatures. By using the Portal to review or sign a document, you consent to receive project documents, invoices, and related notices electronically through the Portal and by email, and you agree that your electronic signature, and the selections you record when signing, are legally binding to the same extent as an ink signature on paper. A document is considered delivered when it is posted to your Portal account. Notices that a signed agreement or applicable law requires to be given in a particular manner, such as statutory, default, or warranty notices sent by certified mail, are governed by that agreement and that law; Portal posting does not replace them. Before your first electronic signature, the Portal presents an Electronic Records and Signatures Disclosure; the version you accept is recorded and appears on the certificate of completion for each document you sign.
You may request a paper copy of any document we have delivered electronically, at no charge, by writing to info@SandStarServices.com. You may also withdraw your consent to electronic delivery for future documents by writing to the same address; withdrawing consent does not affect documents already signed, and paper-based delivery may add time to document turnaround. To use the Portal you need a current web browser, an email account you control, and the ability to view PDF files. If your email address changes, tell us so your sign-in codes and copies reach you.
For each signed document, the Portal records the signer’s name and email, the date and time, the signer’s IP address and browser, a digital fingerprint of the exact file reviewed, and the selections recorded, and issues a certificate of completion. You agree that these records are admissible evidence of the signing.
Invoice amounts and balances displayed in the Portal are provided for convenience. The signed agreement for your project governs amounts owed, and in the event of a discrepancy the signed agreement and issued invoices control, consistent with the Project-Specific Terms Control section below.
If you submit information to Sand Star Services, LLC through the Site, including through a contact form, estimate request, service inquiry, scheduling request, or document upload, you represent that the information provided is accurate, current, and complete to the best of your knowledge.
Sand Star Services, LLC is not responsible for errors, delays, pricing differences, or scope misunderstandings resulting from incomplete, inaccurate, inconsistent, or outdated information submitted through the Site. Sand Star Services, LLC reserves the right to rely on the information submitted until corrected in writing.
The Site is provided for general informational purposes only and does not constitute engineering, architectural, legal, tax, accounting, financial, safety, regulatory, or other professional advice. Content on the Site should not be relied upon as a substitute for project-specific evaluation, professional consultation, field verification, code review, or contract review.
Any project should be evaluated on its own facts, conditions, scope, and applicable requirements. You should consult your own advisors and obtain a written agreement directly from Sand Star Services, LLC before making any decision based on information found on the Site.
If Sand Star Services, LLC enters into a written proposal, contract, maintenance agreement, work order, purchase order, statement of work, or other signed agreement with a customer, the terms of that signed agreement shall control in the event of any conflict with the information or general terms posted on the Site.
Site content is intended to be supplementary and informational only and does not amend, modify, or supersede any signed project-specific agreement unless expressly stated in writing and signed by authorized representatives.
THE SITE AND ALL CONTENT ARE PROVIDED “AS IS” AND “AS AVAILABLE,” WITHOUT WARRANTIES OF ANY KIND, WHETHER EXPRESS, IMPLIED, STATUTORY, OR OTHERWISE. TO THE FULLEST EXTENT PERMITTED BY LAW, SAND STAR SERVICES, LLC DISCLAIMS ALL WARRANTIES, INCLUDING WITHOUT LIMITATION ANY IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, TITLE, NON-INFRINGEMENT, ACCURACY, COMPLETENESS, OR RELIABILITY.
Sand Star Services, LLC does not warrant that the Site will be uninterrupted, error-free, secure, current, or free of viruses or other harmful components, or that defects will be corrected.
TO THE FULLEST EXTENT PERMITTED BY LAW, SAND STAR SERVICES, LLC, ITS MEMBERS, MANAGERS, OFFICERS, EMPLOYEES, AFFILIATES, AGENTS, LICENSORS, AND SERVICE PROVIDERS SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, EXEMPLARY, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR FOR ANY LOSS OF REVENUE, PROFITS, BUSINESS, GOODWILL, DATA, USE, OR OPPORTUNITY, ARISING OUT OF OR RELATED TO:
TO THE MAXIMUM EXTENT PERMITTED BY LAW, THE TOTAL AGGREGATE LIABILITY OF SAND STAR SERVICES, LLC FOR ANY CLAIM ARISING OUT OF OR RELATING TO THE SITE OR THESE TERMS SHALL NOT EXCEED ONE HUNDRED U.S. DOLLARS (US $100.00), UNLESS A DIFFERENT AMOUNT IS REQUIRED BY APPLICABLE LAW.
NOTHING IN THESE TERMS LIMITS, WAIVES, OR MODIFIES: (A) THE RIGHTS AND OBLIGATIONS OF ANY PARTY UNDER A SIGNED PROJECT AGREEMENT, WHICH IS GOVERNED BY ITS OWN TERMS; (B) ANY STATUTORY LIEN RIGHT OR REMEDY; (C) ANY RIGHT THAT CANNOT BE WAIVED OR LIMITED BY LAW, INCLUDING RIGHTS UNDER THE TEXAS DECEPTIVE TRADE PRACTICES-CONSUMER PROTECTION ACT; OR (D) LIABILITY FOR GROSS NEGLIGENCE OR WILLFUL MISCONDUCT.
If a failure of the Portal's signing records affects a document you signed, Sand Star Services, LLC will re-execute the document and reconstruct the record with you at no charge. This remedy is in addition to, and not instead of, any right the law provides.
If you provide your contact information to Sand Star Services, LLC through the Site, including your email address or mobile phone number, you consent to receive communications related to your inquiry, request, service appointment, estimate request, project coordination, follow-up, and other business-related communications from Sand Star Services, LLC.
Where permitted by law, and where you separately opt in through a form, checkbox, or other clear consent mechanism, you may also receive marketing or promotional communications. Consent to receive marketing communications is not a condition of purchasing services. You may opt out of non-essential promotional communications at any time by following the unsubscribe instructions provided in the communication or by contacting Sand Star Services, LLC directly.
Message and data rates may apply to SMS or mobile communications, depending on your carrier and plan. Your use of the Site and any personal information submitted through it is also subject to any applicable Privacy Policy and Cookie Notice posted on the Site. Your use of the Site may involve the collection and processing of certain information as described in Sand Star Services, LLC's Privacy Policy and any applicable Cookie Notice (above). By using the Site, you acknowledge that you have reviewed those policies to the extent posted and understand that they govern the handling of applicable personal information and browser-based tracking technologies.
These Terms and any dispute arising out of or relating to the Site or these Terms shall be governed by and construed in accordance with the laws of the State of Texas, without regard to conflict-of-law principles. This choice of Texas law governs substance only; arbitration under this Section is governed by the Federal Arbitration Act.
Any dispute arising out of or relating to the Site or the Portal shall be resolved by binding individual arbitration administered by the American Arbitration Association under its Consumer Arbitration Rules. This agreement involves interstate commerce and is governed by the Federal Arbitration Act, 9 U.S.C. sec. 1 et seq.; the Texas Arbitration Act is not elected. If you have a signed agreement with Sand Star Services, LLC, its dispute resolution clause governs any dispute relating to that project, and these Terms govern only disputes solely about the Site or the Portal. Either party may bring a qualifying claim in small claims or justice court instead of arbitration. Nothing in this Section limits either party's right to record, perfect, or foreclose a lien, give statutory notices, or seek emergency injunctive relief from a court. Sand Star Services, LLC will pay arbitration fees exceeding what you would pay to file the same claim in court. The arbitration hearing will be held in your county of residence in Texas. You may opt out of this arbitration provision within thirty (30) days of first accepting these Terms by emailing info@SandStarServices.com.
For any matter not subject to arbitration, the state and federal courts located in the State of Texas have exclusive jurisdiction, and each party submits to their personal jurisdiction and venue.
Sand Star Services, LLC may revise these Terms at any time by posting an updated version on the Site. Your continued use of the Site after revised Terms are posted constitutes your acceptance of the revised Terms.
